Privacy Policy
Discretion is part of the job for us, and that extends to your data. This explains exactly what we collect when you get in touch, why we hold it, and how to get it removed.

1. Who we are
Extreme Kleen Forensic Ltd (“we”, “us”, “our”) trades as Extreme Kleen and provides commercial and specialist cleaning services across Bristol, the South West and Wales. We are registered in England & Wales under company number 17177831.
We are the “data controller” for the personal information described in this policy, which means we decide why and how it is used. If you have any question about this policy or about the information we hold on you, contact us at support@extremekleen.co.uk or 03335 774767.
2. What we collect
We keep data collection to the minimum needed to answer an enquiry and deliver the work.
- Enquiry and quote details. When you submit a form on this site we collect your name, email address, your message, and your phone number if you choose to give one. The phone field is optional.
- Correspondence. If you call or email us, we keep a record of that exchange and anything you tell us about the premises or job.
- Customer and site records. For clients we work with, we hold the contact details, site addresses, access arrangements and job records needed to run the contract.
- Technical data. Our hosting provider automatically logs standard request information such as IP address, browser type and the pages requested. This is used for security and to keep the site running, and is not used to build any profile of you.
We do not knowingly collect information from children, and we do not buy contact lists or scrape data to market to people who have not approached us.
3. Cookies and tracking
This website sets no advertising cookies and runs no third-party analytics or tracking pixels. There is nothing here that follows you across other websites.
The only third-party content on the site is the occasional embedded YouTube video. These use YouTube’s no-cookie domain and are not loaded at all until you click play, so nothing is requested from YouTube unless you choose to watch. Once you do, Google’s own privacy terms apply to that playback.
4. Why we use it, and our lawful basis
UK GDPR requires us to have a specific lawful basis for each use of your information. Ours are:

We do not send marketing emails to enquirers who have not asked for them. If we ever introduce a mailing list it will be opt-in, and every message will carry a one-click unsubscribe.
5. Sensitive and confidential work
A large part of what we do — trauma and crime scene cleaning, unattended death cleaning, hoarder clearance and sharps removal — brings us into contact with people at difficult moments. We treat everything we see and are told as confidential.
- Details of a job are shared only with the operatives and supervisors who need them to carry out the work safely.
- Our staff are bound by confidentiality obligations as a condition of their employment.
- We do not use photographs, addresses or any identifying detail from sensitive work in marketing, case studies or on social media without separate written permission.
- Where a job is instructed by a third party such as a landlord, housing association, insurer or local authority, we share only what is necessary to complete and evidence the work.
6. Who we share it with
We do not sell your personal information, and we never share it for anyone else’s marketing. We do use a small number of service providers who process data on our behalf under contract:
- Our website and enquiry-form provider (ctrl.alt.elite), which receives form submissions and forwards them to us by email.
- Our website hosting provider (Vercel), which serves this site and keeps the technical logs described above.
- Our email provider (Microsoft 365), where enquiry emails and correspondence are received and stored.
- Professional advisers such as our accountant, and licensed waste contractors where a job requires documented disposal.
Some of these providers operate infrastructure outside the UK. Where personal information is transferred abroad, it is protected by UK adequacy regulations or by the UK International Data Transfer Agreement or equivalent contractual safeguards.
We may also disclose information where we are legally required to — for example to the police, a coroner, a regulator, or in response to a court order.
7. How long we keep it
- Enquiries that do not become work: up to 24 months from your last contact with us, then deleted.
- Customer and job records:for the duration of the contract and 6 years afterwards, which matches the limitation period for contract claims and HMRC’s record-keeping requirements.
- Waste transfer and hazardous waste documentation: for the minimum period set by the relevant waste regulations.
- Website technical logs: a short rolling period set by our hosting provider, typically measured in weeks.
If you ask us to delete your details sooner we will do so, unless we are legally required to keep a particular record.
8. How we protect it
This website is served over HTTPS and enquiry submissions are encrypted in transit. Access to enquiry and customer records is limited to the people who need it, on password-protected accounts. We review who has access when people join or leave. No system can be guaranteed completely secure, but we take these obligations seriously and will tell you and the Information Commissioner promptly if a breach occurs that is likely to affect your rights.
9. Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal information we hold on you;
- have inaccurate information corrected;
- ask us to delete information where we no longer need it (the “right to be forgotten”);
- ask us to restrict how we use your information while a query is resolved;
- object to processing we carry out on the basis of legitimate interests;
- receive information you gave us in a portable electronic format; and
- withdraw consent at any time, where we relied on consent.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right ourselves first.
10. Changes to this policy
We may update this policy as our services or systems change. The current version always appears on this page with the date it last changed shown at the top. If a change materially affects how we use information you have already given us, we will contact you directly.
